How Order Capture Works

The AI doesn't just chat — it can turn a conversation into a real order, automatically. This is the feature most sellers love, so here's exactly how (and when) it happens.

The rule: only after the customer confirms​

The AI records an order only once the customer has explicitly confirmed a complete order — that means all of the following are in the conversation:

  1. Items — what they want to buy (and how many)
  2. Name — who the order is for
  3. Address or pickup — where it's going, or that they'll pick it up
  4. Contact number — how to reach them

If any of these is missing, the AI keeps asking follow-up questions instead of guessing. It will never invent a product or price that isn't in your product list.

What happens when an order is captured​

  1. The AI sends the customer a confirmation message with an order summary and your payment instructions (GCash/Maya).
  2. You get an email notification right away.
  3. The order appears in your dashboard's Orders tab with status new.
  4. You verify the payment came through, then move the order to confirmed, and finally fulfilled once it's delivered or picked up. Orders that don't push through can be marked cancelled.

You — not Kapaldo — collect and confirm payment. The AI simply shares the GCash/Maya number you set up in Setup.

Example conversation​

In Bisaya:

Customer: Hi po, naa moy lechon manok? Pila? AI: Oo mam! ₱280 per whole, ₱150 per half. Gusto ka mo-order? 😊 Customer: 1 whole ra. Pickup ra ko, pwede 6pm? AI: Sige po! Pwede via GCash 0917-234-5678 o cash pickup. Unsa imong pangalan? Customer: Ana Cruz, 6pm ko kuha AI: Salamat Ate Ana! ✅ Na-confirm na imong order. Kitaay ta mamaya! 🐔

English translation:

Customer: Hi, do you have lechon manok (roast chicken)? How much? AI: Yes ma'am! ₱280 per whole, ₱150 per half. Would you like to order? 😊 Customer: Just 1 whole. I'll pick it up, is 6pm okay? AI: Sure! You can pay via GCash 0917-234-5678 or cash on pickup. What's your name? Customer: Ana Cruz, I'll get it at 6pm AI: Thank you Ate Ana! ✅ Your order is confirmed. See you later! 🐔

Because the customer gave items (1 whole lechon manok), a name (Ana Cruz), a pickup time, and implied payment method, the AI captures this as a complete order — no guesswork needed.
